HOW DO I CHANGE ACCESS FOR AN EXISTING EMPLOYEE/USER ACCOUNT?

Revise Access

To change the access for an employee/user account within the system, follow these steps:

Step 1: Access the Administrator Dashboard

• Begin by accessing the Administrator dashboard, which serves as the central control panel for managing various aspects of the system.

Step 2: Navigate to the Employee/User Details

• From your Administrator homepage, there are two options:

  1. Navigate to the appropriate division where the employee/user is located. Click on "View Current Employees/Users" button or "Total Employees/Users" under Division Stats to directly access the division's employee/user list.

  2. Locate the Search menu at the top of the page and click on it. Basic search boxes will appear for First Name and Last Name. For advanced search options, click the “full search” button on the right of the basic search.

Step 3: Select the Employee/User Account to Edit

• Locate the employee/user you want to modify. Click on their name to access their Employee/User Folder.

Step 4: Go to the Edit Employee/User Account Page

• In the Employee/User Folder, find and click the "Take Action" dropdown menu. Select "Edit Account Details."

• The new page is called the "Edit Employee/User Account". Here, you can view their basic information and access details.

Step 5: Change Account Status

Employee/User to Staff/Admin: The ‘Select the Forms You Would Like to Make Available to the Employee/User’ panel only appears on accounts for those who have limited access to fill out and submit forms. Click the “Manage Other Roles” button at the bottom of the page to add HR Staff by individual division and/or HR Admin permissions. Scroll down to the bottom of the page and click the "Update" button to save the changes.

• This is particularly useful when an employee/user takes on new responsibilities without the need for a separate account.

Step 6: Verify Changes

• After updating the account, you'll be returned to the details page. You'll now see the changes reflected in the account information and applicable areas of the module.
