I RECEIVED A NOTIFICATION THAT MY NEW FORM IS COMPLETE, WHAT HAPPENS NEXT?

Newly Built, Revised, or Replaced Forms

When Support has confirmed that the form changes you requested are ready in the system, follow these steps:

Step 1: Access the Administrator Dashboard

  • Begin by accessing the Administrator dashboard, which serves as the central control panel for managing various aspects of the system.

Step 2: Restrict Access

  • On the Administrator dashboard, locate the Forms menu at the top of the page and click on it. In the dropdown list, select Form Manager.

  • The Form Manager offers an option to restrict access to forms on specific divisions titled Division Assignment. This is an essential step to ensure that the form is available only to the relevant divisions.

Step 3: Add to Division Packet

This step ensures that employees/users in those divisions can access and complete the form. There are 2 ways to add this form to the division packet(s):

  1. After selecting which divisions to assign the form and submitting that change, click the “Set As Defaults” button.

  2. Under each division where you want the new form to be accessible, locate the Pre-Selected Form Packet panel. Add the new form to this list for each applicable division and click the “Update Pre-Selected Form Packet” button.

Step 4: Test the Form

  • Before fully launching the form, it's a good practice to test it through the employee/user portal under a faux account. This helps you ensure that the form generates the information as expected and that any calculations, fields, or conditional logic work correctly.

  • Think from the perspective of your employees/users. Is the form user-friendly and easy to understand? Test its usability to ensure that your employees can navigate and complete it without confusion.

Step 5: Final Checks

  • Review the form one last time to ensure that all necessary fields are included, instructions are clear, and any legal disclaimers are present. This step helps you avoid any hiccups once the form is live.
