HOW DO I SEND A MESSAGE TO AN EMPLOYEE/USER?

Access the Messages Area

The system offers multiple ways to send a message to an individual employee/user.

General Messages

Step 1: Access the Administrator Dashboard

  • Begin by accessing the Administrator dashboard, which serves as the central control panel for managing various aspects of the system.

Step 2: Navigate to Messages

  • As an HR admin, the quickest way to access the messaging area is by clicking on the Messages option located at the top of your admin dashboard.

Step 3: Compose a New Message

  • Within the messages section, look for the option to Compose a New Message found at the top of the pop-up window.

  • Click on it to initiate the message composition process.

Step 4: Send a Message to a Specific Employee/User

  • In the To: field, you can search for the specific employee/user you want to message by beginning to type in their name. A dropdown list of options will appear below the field with those who fit the search criteria entered.

  • Craft a meaningful subject line for your message summarizing the purpose of your communication. Then, write your message in the designated text box.

    • Ensure that your message content is clear, concise, and well-structured. If you're requesting action, provide clear instructions.

  • Once you're satisfied with your message, click the "Send" button to dispatch the message to the selected employee.

Messages from Employee/User Folders

Step 1: Access the Administrator Dashboard

  • Begin by accessing the Administrator dashboard, which serves as the central control panel for managing various aspects of the system.

Step 2: Navigate to the Employee/User List

  • From your Administrator homepage, there are two options:

    • Navigate to the appropriate division where the employee is located. Click on "View Current Employees/Users" button or "Total Employees/Users" under Division Stats to directly access the division's employee/user list.

    • Locate the Search menu at the top of the page and click on it. Basic search boxes will appear for First Name and Last Name. For advanced search options, click the “full search” button on the right of the basic search.

      Admin Tip: When using the First Name and Last Name fields in either the basic or advanced searches, the system will find any account matching any entries. For example: type a partial last name in the Last Name field to see a full list of accounts that have that partial entry included.

      • Search Filters: On the Full Search page, you will see a search bar labeled ‘Search Filters’ including the ‘Division Filter’ section. Searching within a certain division streamlines your administrative tasks by providing targeted results.

      • Search by Email: On the Full Search page, there is an option to search by email address instead of or as well as the employee/user name.

  • Find the employee's name (e.g., John Smith) and click on it to access their employee/user folder.

Step 3: Initiate Message

  • Inside the employee/user's folder, navigate to the Employee/User Information panel.

  • Click the ‘Select an Action to Take’ dropdown menu and click on Message [Employee/User].

Step 4: Compose a New Message

  • Within the messages section, look for the option to Compose a New Message found at the top of the pop-up window.

  • Click on it to initiate the message composition process.

  • Clear and Concise: Keep your messages clear and concise. State the purpose of the message upfront.

  • Subject Line: Craft a subject line that summarizes the main topic of the message.

  • Proper Grammar: Maintain proper grammar, spelling, and punctuation for a professional tone.

  • Actionable Content: If you're requesting an action from the employee, provide clear instructions on what's expected.
