HOW ARE THE FORMS FILLED OUT/SIGNED BY THE NEW EMPLOYEE/USER?
New Employee/User Form Completion
For an employee/user to complete the forms provided to them within the system, they must follow these steps:
Step 1: Fill Out Form Questions
Segmented Process: Form completion by an employee/user is divided into two key parts — filling out form questions and signing/submitting the forms.
Common Questions: To streamline the process, frequently asked questions are consolidated to be answered once, reducing redundancy.
Question Types: Questions can be marked as required or optional, ensuring that essential information is provided.
Step 2: Sign and Submit Forms
Individual Form Review: Upon completing questions, the employee/user is prompted to review an assembled PDF of the form that includes their responses and additional questions generated by HR. Each individual form requires this review.
Accuracy Check: The employee/user must review the PDF form to ensure all information is correct.
Form Submission Options: Once the PDF is closed, the employee/user is prompted ‘Did Everything Look Good?’
Yes. Continue: If everything looks accurate, the employee/user can proceed to sign and submit the form.
No. Skip Submission: If any concerns arise, the employee/user can skip submission, allowing them to review the provided information and address issues related to that form.
Acknowledgements and Signatures: Employees/users read relevant acknowledgements and provide necessary signatures.
Submit Form: Employees/users click on the “Submit My Form” button.
Admin Tip: If the employee/user attempts to fill out the form after it has been submitted, it will create a new version of that form rather than revising the existing version that was submitted.
Step 3: Final Confirmation and Outcome
Confirmation Page: Upon submitting all forms, a confirmation page displays additional information, including Employee/User Uploads, Flyers, and options to print filled forms.
Completion: The employee/user's role in form completion concludes at this stage; no further action is required.
