HOW CAN I PREVIEW MY CHANGES TO SEE IT FROM THE EMPLOYEE/USER’S POINT OF VIEW?
Preview Changes as a New Employee
As an HR Admin, you can access an employee account to view recent changes made in the system by following these steps:
Step 1: Navigate to Activated Employee Account
When viewing a list of Current Employees under a division, select the employee’s name to access their Employee Folder.
Alternatively, you can create a test employee account. This account will be used solely for previewing purposes, so the information provided doesn't need to be accurate. Assign this account to the "Test" division.
Step 2: Account Access
In the Employee Folder, at the bottom of the Employee Information panel, click on the Select an Action To Take dropdown menu, then select Access [User]’s Account.
Confirm access by clicking the “OK” button in the pop-up window at the top of the page.
Step 3: Explore the Employee/User Portal
Navigate through different areas of the portal to see how your recent changes are reflected. Pay close attention to the forms, flyers, and any other information that the new hire would encounter. This step allows you to spot any discrepancies, errors, or inconsistencies that need to be addressed.
Step 4: Verify Information and Flow
While exploring the employee portal, verify that all forms and information are displayed correctly. Check the order of forms, any newly added flyers, and the overall flow of the onboarding process. This step helps you ensure that the new hire's experience aligns with your intended onboarding process.
Step 5: Make Necessary Adjustments
If you identify any issues, discrepancies, or areas for improvement during the preview, take note of them. Return to your HR Admin account and make the necessary adjustments to ensure a smooth and accurate onboarding experience for your new hires.
Step 6: Repeat and Refine
It's a good practice to repeat this process as you continue to make changes or updates to the employee portal. Regularly stepping into the new hire's shoes through the test account helps you maintain a high standard of onboarding quality.
