Reject a Form

  • When the status of a form is changed to Rejected, the representative who made the change is required to select a Reason from a dropdown list and provide Comments to Employee/User.

Admin Tip: When filling out Comments, it's crucial to provide clear and concise reasons for the rejection. This helps the employee/user understand what went wrong and what needs to be corrected. Clarity in communication reduces confusion and streamlines the process of resubmission.

  • The employee/user will receive an email notification if an email address is listed for their account to alert them that a new Message is waiting for them to review with a link to access the website.

  • Once they login, a message pop-up will appear with the Rejection information provided.

  • Additionally, their form requirements will be changed to indicate that they are required to fill out the form once more in order for their submissions to be complete.

Importance of Communication

  • While the system provides internal messaging for rejected forms, it's recommended to incorporate the communication of rejections into your overall communication strategy with the employee/user. This might involve sending an email or initiating a conversation to ensure that they are aware of the situation and understand the steps to rectify it.
