DOES THE EMPLOYEE/USER RECEIVE A NOTIFICATION IF I REJECT A FORM?
Form Rejection Notification
Reject a Form
When the status of a form is changed to Rejected, the representative who made the change is required to select a Reason from a dropdown list and provide Comments to Employee/User.
Admin Tip: When filling out Comments, it's crucial to provide clear and concise reasons for the rejection. This helps the employee/user understand what went wrong and what needs to be corrected. Clarity in communication reduces confusion and streamlines the process of resubmission.
The employee/user will receive an email notification if an email address is listed for their account to alert them that a new Message is waiting for them to review with a link to access the website.
Once they login, a message pop-up will appear with the Rejection information provided.
Additionally, their form requirements will be changed to indicate that they are required to fill out the form once more in order for their submissions to be complete.
Importance of Communication
While the system provides internal messaging for rejected forms, it's recommended to incorporate the communication of rejections into your overall communication strategy with the employee/user. This might involve sending an email or initiating a conversation to ensure that they are aware of the situation and understand the steps to rectify it.
Maintain a Positive Experience
Effective communication regarding rejected forms is not only about providing information but also about maintaining a positive employee/user experience. Clear communication shows that the company is invested in ensuring accurate data and providing the necessary support throughout the onboarding process.
